Fun Run RULES & Information

1. General information
1.1. Event name: SDA Parys Health Run.
1.2. Event date: Sun 15 October 2023.
1.3. Event Organiser: Seventh Day Adventist Church Parys under the auspices of Parys Multisport Club (AFS).
1.4. Venue:
1.4.1. Parys Golf and Country Estate – www.parysestate.co.za
1.4.2. GPS location: S26°53’27.26” E27°27’50.76”
1.5. Entries:
1.5.1. Online Pre-entries open on Monday 14 November 2022.
1.5.2. Online Pre-entries close on Thursday 10 October 2023.

1.5.4. Temporary Licenses will be available at R70 and to be displayed on the front of the running vest (according ASA ruling.) No insurance coverage on the temporary licenses.
1.5.5. 5km Fun run entry fee:
1.5.5.1. Minimum age on day of the event: 9 years.
1.5.5.2. The 5km fun-run forms part of the SDA Parys Health and fitness exhibition.
1.5.5.3. The entry fee for the fun-run will grant participants access to attend the exhibition and enjoy a whole day of healthy living.
1.5.5.4. Online pre-entry per participant: R100 per entry.
1.5.5.5. Late entry per participant at registration before the start: R50 per entry.
1.5.5.6. Late entries will be accepted 06h30am – 07h00am prior to the start at registration.
1.6. Route description
1.6.1.1. The 5km fun run route is not a certified measured route and cannot be used by athletes for qualification, seeding, or distance record purposes.
1.6.1.2. The route is fast and flat with slight undulations typically expected to be found on a Golf estate. The course is laid out in a looped configuration and confounded by the majestic Vaal River from all sides. The route includes short sections of well-maintained gravel road that offers participants a spectacular view of the Vaal River and its natural splendour.
1.6.2. A printed map of the route will be displayed at the registration area on the day of the event.
1.6.3. Marshals will be placed along the route as safety measure and to ensure that participants do not get lost or deviate from the route.
1.7. Race-pack and number collection:
1.7.1. Temporary licenses can be collected 06h30am – 08h00am at registration prior to the start.
1.7.2. No race / bub numbers will handed out. Athletes will only wear their ASA license (or temp license).
1.7.3. The registration point will be located at the Parys Gold and Country Estate near the start of the event.
1.7.4. No person or club will be allowed to collect a race number on behalf of a participant.
1.8. Start and cut-off times:
1.8.1. All participants must attend the pre-race briefing 10 minutes prior to the start of each race.
1.8.2. 5km Fun-Run will start at 08h30am.
1.8.3. The cut-off time to complete the distance will be at 09h30am (1 hour).
1.9. Prize giving:
1.9.1. The prize giving ceremony will take place according to health and safety regulations that may apply at the time of the event.
1.9.2. The Lucky Draw will take place at 10h00am after conclusion of the event.
1.9.3. The prize giving ceremony will be presented near the finish area at the Parys Golf and Country Estate.
1.10. Prize money and awards:
1.10.1. Special finishers pin / badge to the first 100 finishers (will be handed out as participants finish).
1.10.2. No cash or prize money will be awarded.
1.10.3. No podium ceremony will be held, only lucky draw prizes as provided by our sponsors.
1.10.4. No age category prizes will be awarded.
1.11. Timing and results:
1.11.1. The event will start using a mass start format (no seeding).
1.11.2. There will be no official time keeping or results for this event. This will be a fun run / walk only.
1.11.3. Any results obtained will be for personal use only. This event cannot be used by athletes for qualification, seeding, or distance record purposes.
1.12. Parking:
1.12.1. Participants will be required to pass through the security gates of the Parys Golf and Country Estate. Please arrive early to avoid congestion at the entrances.
1.12.2. Participants and spectators must show proof of entry for the fun-run, or purchase an entry ticket for the SDA Health and fitness exhibition. Refer to entry fees (1.5.5.4 and 1.5.5.5)
1.12.3. Participants and spectators may use the designated parking area located next to the club house.
1.12.4. Parking is free and secure, but participants and spectators enter and park their vehicles at own risk. Please keep vehicles locked and valuable items stored out of sight.
1.13. Tog bag facilities and arrangements:
1.13.1. There is no tog bag area or area allocated for safe storage of personal belongings.
1.14. Club gazebo area:
1.14.1. Will there be an area where clubs can setup gazebos? Contact Henk 082 650 4340 to confirm availability and bookings. Arrangement for this must be done beforehand with event organizers.
1.15. Facilities:
1.15.1. No Shower facilities available on site.
1.15.2. Permanent ablution facilities available. Shared and fully serviced facilities that also serve as change rooms. Participants are encouraged to use the facilities and not change / expose themselves in public.
1.16. Medical services:
1.16.1. Medical service provider is MEDIX
1.16.2. The medical staff and ambulance will be located @ the Health Expo Tent.
1.16.3. Treatment by the event appointed medical staff may take place at any point on the course.
1.16.4. An athlete shall retire from the event if ordered to do so by the officially appointed medical staff. Failure to comply with instructions from medical staff may lead to disqualification.
1.17. Food stalls and refreshments:
1.17.1. Refreshments and local cuisine will be sold at the venue.
1.17.2. No alcohol will be allowed in the area designated to the fun-run and no alcohol may be carried with, on display, advertised, or consumed by a participant during the fun-run.
1.18. Lead / tail vehicles:
1.18.1. There will be no lead or tail vehicles for this event.
1.18.2. There will be tail walkers / runners for safety purposes.
1.19. Water aid stations and seconding:
1.19.1. There will be one water aid station on the route that will serve water only.
1.19.2. Participants may receive assistance from other competitors at any time.
1.19.3. Participants will allowed to carry their own water with them using their own water bottle(s) / container.
2. Race rules
2.1. This event is presented according to the rules and regulations of WA, ASA, and AFS.
2.2. Athletes indemnify the national, provincial and regional bodies, sponsors and organisers of the race against any or all actions of whatsoever nature, whatever the same may arise out of their participation in the race.
2.3. All Traffic Officials, Technical Officials and marshals must be obeyed. Breach of any regulations or requirement may lead to instant removal without appeal. The race organiser and safety officer have the final decision in this regard.
2.4. All athletes participate at their own risk. Athletes acknowledge that by entering the event they are medically fit to participate.
2.5. All athletes must supply the name and contact number of their next of kin / emergency contact on the entry form.
2.6. Licenses and age tags
2.6.1. Licensed athletes must wear club colours with the ASA licence number displayed on the front and back of the running vest.
2.6.2. Wearing of age tags is not compulsory.
2.6.3. Temporary license (not applicable to athletes with permanent licenses) to be displayed on the front of the running vest (according ASA ruling.) No insurance coverage on the temporary licenses.
2.7. No animals, blades, cyclist or mechanically operated devices allowed in the race.
2.8. Foreign athletes are to comply with ASA rules prior to and during the race.
2.9. Children may only participate under the supervision of a parent / legal guardian.
2.10. No refunds will be given once an entry is purchased. In the event that the race is cancelled due to reason outside the organiser’s control, the organiser retains the right to convert the event to a virtual run. In such a case, arrangements will be made for prizes and awards to be couriered to entrants at an additional fee to the athlete.
2.11. An athletes may not run with another athlete’s ASA license.
2.12. The wearing of earphones, iPods, headsets and similar devices is not permitted (WA Rule T6.3.2) and will lead to disqualification.
2.13. The race organiser retains the rights to refuse entry and reject persons under the influence of drugs or alcohol, who are disorderly, or engage I inappropriate behaviour, vandalism or evade paying for admission.
2.14. Athletes who participate without buying a race entry will be disqualified and will not be entitled to any benefits associated with the event.
2.15. Attending or participating in this event will in no way entitle any participant or attendee to receive any benefit, discount, or reward from the event sponsors at any time before, during or after the event.
2.16. Littering is not allowed. Intentional littering and littering in non-designated areas may lead to disqualification.
2.17. No athlete will be allowed to start more than 5 minutes after the official start of the race. Please arrive early.
2.18. All participants will adhere to the health and safety regulations implemented as prescribed by health and safety authorities during the time of the event. This may include health screening, sanitising, wearing of masks, and social distancing.
3. Waiver, Indemnity and consent
3.1. The information I provided on the entry application form is true and correct.
3.2. By entering to participate in this event I understand that I am bound by the rules and regulations of the event and the rules and regulations of WA, ASA and AFS.
3.3. I warrant that I am in a good health and that I am aware of the risk and danger of the physical nature of the event, and I do not claim ignorance of these risk and danger.
3.4. I hereby acknowledge that I participate in this event entirely at my own risk and release, to the fullest extent of the law, the organiser of the event, provincial and national athletic bodies, and all local authorities from the responsibility, liability and / or costs related to any injury, loss, or damage of any nature that may arise directly or indirectly before, during or after the event.
3.5. I agree and warrant that if at any time I believe conditions to be unsafe, I will immediately discontinue further participation in activity.
3.6. I am aware of the terms of section 51 of the electronic communication transactions act 25 of 2002, that allows the organiser of this event to use and disclose my name, ethnicity, photographs, and video recordings gathered as a result of my participation in the event for the purpose of public broadcasting and future marketing of the, free of charge.
3.7. Minor release (younger than 18 years): The minor participant and the minor’s parents and/or legal guardian understand the nature, risk and danger of the activity and believe the minor to be experienced enough, in good health, and in proper physical condition to participate in the activity.
